February Board Minutes

The Board met at Crouse Cafe on Thursday February 4, 2016 and discussed the following:

  1. A $250 gift card to Rotaract for pizza was approved.

  2. Service Committee - The Board is planning to support the following projects:  Backpacks of school supplies; Meals from the Heartland (sponsored by Rotaract); Habitat For Humanity.

  3. One new member was approved.

  4. The board approved $750 toward the purchase of 3rd Grade dictionaries which will be distributed in September / Octboer 2016.

  5. The Board approved 2016 membership in the Indianola Chamber of Commerce at a cost of $80.

  6. Balloon Shed discussion. A bid to build an 8' x 24' combination shed to used for ticket sales and sign storage has been received at a cost of $3,500.  Terry is planning to meet with Classic Official after the NBC Ritz to discuss financing the shed, purchase of traffic cones and row marker signs.

  7. Rotary Multi-Club Event: Water Project

  8. Foundation Committee: the Board is supporting the Foundation by contributing $20 per member $1060 and have 10% of members enrolled in Rotary Direct.

  9. District Conference: March 31-April 2, Airport Holiday Inn, Des Moines. Members are encouraged to attend the entire event and the Board highly recommends that members attend the Luncheon on April 1st.

  10. Presidential Citation goals have been assigned to individuals/committees. Clubs are also encouraged to earn the Governor's Citation (easier than the Presential Citation).

  11. Committees are asked to meet as soon as possible if they have not already done so. Review committee descriptions; recommend a budget for next year; decide which Presidential Citation goals you will work toward (Service, Public Relations, and Foundation have met)

Public Relations Committee Minutes

Here are the notes from the PR Committee Meeting. The RED portions are Action Items (either assigned to the name mentioned or it's up for grabs for someone to help with).

1) Presidential Citation - 

a)The club is currently meeting the Citation requirements of website and social media updating, as well as newsletter and brochure coverage.

b) the committee decided we should update the club brochure with pictures and more information on reasons for considering the club for membership. Emily will work on the design of a new brochure, Ron would like it complete by April 1st

2) Social Media - 

a) LinkedIn - Keri Blake was in the process of creating a LinkedIn page for our club. Once that is complete, we will promote it 

b) Facebook - Committee members felt we should increase Likes to the Page to increase our presence, increase Likes of Posts in order to improve analytics (higher analytics means better views of page), and increase Shares of Posts to further spread the word about the projects we are doing. 

c) Increase number of Rotaract students who Like our Page and participate in posts Can someone reach out to Robert Lyons to encourage this?

d) Facebook Contest - maybe have a contest to increase Likes of the Page, such as offering a gift to a winner after we reach so many Page Likes.

3)Other

a) Chamber Membership - Membership would put Rotary in City Directory and we could list events on website and in weekly newsletter Emily researched the cost of membership - it's $80 annually

b) Event Participation - What are some events we should be participating in? Warren County Fair? Entire Committee should be thinking about this - bring suggestions to the next meeting

c) Signage - There used to signs along the highway stating Indianola had a Rotary Club. Jennifer will look into signage regulations and the cost for new signs. 

d) Promotional Items - We have used all the bookmarks and items with the Rotary logo, so we need to replenish our supply. Jeromy will research Superior Printing for items and cost to add to the budget

4) Budget

We will develop a budget by March 1st. So far, items to add to the budget include: chamber membership fee, printed materials (brochures, postcards, bike ride posters, book sale posters), Book Sale advertising in RHT, signage, promotional materials (for balloon parade, holiday extravaganza parade, Log Cabin Days parade), booth fee for Warren County Fair. Ron provided a ledger of expenses from the last quarter to give us an idea of what we need to be including. Entire Committee should be thinking of what to add to the budget. We will meet again in February to finalize the budget. 

Also, the committee decided a member of the committee should be in attendance at all other committee/board meetings in order to stay informed of projects. This would not be to participate in those committee's but to be the ears for the PR committee. Jeromy mentioned an interest in doing this - are you still interested Jeromy? If so, Ron, can you please help Jeromy learn about days/times of those meetings?

Please help with the items in red. We will meet again in February to see how we've come along with the items in red and to finalize the budget.
